Archiving, not to be confused with deletion, allows a user to move researched contacts and companies to an archived state.
When the Contacts or Companies tabs get too bogged down when a user has a high volume of contacts or companies it can cause an extreme degradation in performance. This enhancement is meant to resolve for those issues and allow you to continue your productivity regardless of how many contacts are within your account.
How to Archive Contacts manually?
Individually Archive
- Click into your My Contacts Tab.
- Click the checkboxes next to the individuals you would like to archive.
- Choose the archive icon towards the upper right hand side of the screen and Add Selected to Archive.
Bulk Archive
- Click into your My Contacts Tab.
- Click on the Filter Icon and add any Filters you would like to utilize to Bulk Archive contacts.
- Click into the Archive Icon followed by clicking the Add Filtered to Archive button!
Archive All
- Simply Click the Archive all option from the Archive dropdown menu.
- From here, an Archive confirmation will appear where you will need to type "archive all" into the text field and click the red Archive all Contacts button in the bottom right corner of the pop-up window.
How does Archiving work?
Automated (Passive Management)
Every night, our system will run to identify when you have reached the threshold of 50,000 contacts or 50,000 companies numbers are independent and do not affect one another).
After this number is reached, the system will automatically Archive the contacts or companies to ensure that the count remains at 50,000. For awareness, the oldest contacts and companies are auto-archived first to ensure your newly researched entries are still available.
Manual (Active Management)
On My Contacts/My Companies views users will be able to archive contacts and companies individually or in-bulk.
This functionality allows you to manually Archive the contacts through an additional button to ensure the data is removed but still accessible in the future.
Benefits
Keeping the contact and companies number lower allows for faster searching through the filters within your My Companies and My Contacts pages.
Previously, when hitting certain thresholds within the My Contacts and My Companies pages, the system would fail at loading these searches or filtered searches.
Where to access Archive Contacts or Companies?
You can access your archived contacts or companies by clicking into the Archive Icon and selecting ‘Manage Archive’. You can also access them by navigating to your settings and choosing the Archive option.
After accessing the Archive page, the corresponding Download Archive or Delete Archive buttons appear for both Contacts and Companies and will allow you to download CSV lists of anything present!
What happens to an Archived Contact?
Once a contact or company record has been archived all functionality will be restricted meaning that the only action you would be able to perform on the record, outside of seeing contact/company details, would be to un-archive the record.
You can find archived contacts and companies in Contact Search and Companies Search marked with a grey card labeled Restore. If you choose to restore (unarchive), the contact or company will be visible again in your My Contact or My Companies.
When you unarchive a record, it keeps all past edits, lists, CRM import status, and saved dates. A new Restored Date will indicate when it was moved from archived to active. The Updated Date in the backend will reflect the unarchiving date to prevent it from being automatically archived again.
In Settings under Archive you will be able to:
- View Total Number of Contacts and Companies that have been archived.
- The last date a contact or company was archived.
- Functionality to download the list of archived contacts and companies.
- Ability to Delete all archived contacts and companies
